Data collected and how the form works
You may provide your name, email, telephone number, event date and venue, event type, expected attendance, required services and message. Fields marked as required are needed to assess and respond to your enquiry; the other fields are optional. Do not send sensitive data or unnecessary information about other people.
In this mode, the form prepares a message in your email application. Nothing is sent automatically: you must review and send the message. If selected, the formatted draft is generated in your browser. The copy option adds your email address in CC. The website does not keep a database of enquiries.
The restricted area processes user names and emails, permissions, hashed credentials and access logs containing the date, event, outcome and a pseudonymised origin identifier. Access logs are filtered to the last 30 days, with a limit of 500 entries, during read and write operations. Processing supports authentication, auditing and security based on legitimate interests. Accounts must be deactivated and data reviewed when access is no longer needed.
Purposes and legal bases
We respond to enquiries and prepare quotes to take pre-contractual steps requested by the individual or perform a contract, where applicable (GDPR Article 6(1)(b)). Communications with company representatives and website security rely on the legitimate interests of managing business contacts, preventing abuse and protecting systems (Article 6(1)(f)).
Compliance with legal obligations relies on GDPR Article 6(1)(c). Optional statistics and the external map depend on your affirmative choice, which you may withdraw (Article 6(1)(a)). Requesting a quote does not authorise marketing. No solely automated decisions with legal effects are made about visitors.
Retention
Quote enquiries that do not lead to a contract are retained for 12 months after the last contact and then deleted, unless continued retention is justified by a legal obligation or the establishment, exercise or defence of legal claims. Contract and invoicing data follows applicable statutory retention periods. Backups are replaced according to their retention cycle; restoration must respect erasure requests.
Technical logs are used for security, fault diagnosis and abuse prevention and must be limited to the period needed for those purposes. The precise retention periods for hosting logs and backups depend on the provider; you may request further information using the contact above.
Recipients and external services
Access to enquiries is limited to authorised people who need to handle them. Hosting, email and technical support providers may process data as necessary to provide their services. Authorities may receive data where legally required. Social media links open third-party services governed by their own policies.
Metricool receives technical browsing data when you accept statistics. According to the provider, its tracker does not use cookies or unique device identifiers; connecting to the service exposes the IP address. We nevertheless require your permission before loading it. The website does not send form identity details or messages to Metricool.
Google Maps loads only after you click Load Google map. Google then receives technical data such as your IP address and browser information and may use cookies under its policy. The website font is hosted locally, without an automatic connection to Google Fonts.
Some external services may process data outside the European Economic Area. Transfers must comply with GDPR Chapter V through an adequacy decision or appropriate safeguards, as applicable. You may request information about the providers and relevant safeguards. Please also consult the external services’ policies:
Cookies and browser storage
- tecnilight_session — a technical session cookie protecting the form and managing delivery status. It is not used for advertising; it lasts for the browser session.
- tecnilight-analytics-v2 — local storage of your acceptance or rejection of statistics, including the date and choice version. The choice expires after 180 days; you may change it sooner. It contains no name, email or form message.
- tecnilight-sound-muted — session storage of your sound preference, used when you interact with the audio controls. It ends with the tab session. Permission to load the map is not saved for future visits.
- tecnilight_admin — a technical session cookie used only for administration access. Authenticated sessions are limited to 30 minutes of inactivity and a total duration of 8 hours.
Accepting, rejecting or withdrawing your choice
Statistics remain off until you accept. The accept and reject buttons have the same appearance. You can reopen Statistics preferences in the footer and reject to prevent new connections to Metricool. In the map area, Hide and disable map removes the embed. You can continue using the website and contact details without enabling these services.
Withdrawal does not affect earlier lawful processing. Cookies already set by an external service may need to be removed in your browser settings. If you clear browser storage or use another browser, you will need to choose again.
Your rights
Subject to the law, you may request access, rectification, erasure, restriction or portability, or object to processing, including processing based on legitimate interests. You may withdraw consent without affecting earlier lawful processing. Send requests to the data protection contact above. Responses are normally provided within one month; any legally permitted extension will be explained. Only identification details proportionate to the request will be requested.
You may lodge a complaint with Portugal’s Comissão Nacional de Proteção de Dados (CNPD), without prejudice to other remedies.
